Multimedia Services Announces Upcoming Important Webex Changes

Informational

Multimedia Services would like to inform the Rensselaer community of several important changes coming to the Webex platform in the near future, including changes to Windows OS support, the new Webex Scheduler, Webex Webinars, and the Webex recording retention policy.

Microsoft has announced that both Windows 7 and Windows 8 will be at their end-of-life at the end of 2022. As a result, Webex has ended support for these operating systems, and all members of the campus community should ensure that all of their Windows computers have been upgraded to Windows 10 or Windows 11 in order to be able to install and run the Webex desktop client. The official list of supported operating systems is available for review at the Cisco Webex documentation site.

In June 2022, Webex released the final version of the Productivity Tools for Microsoft Outlook. This tool will no longer be supported moving forward, and has been replaced by the Webex Scheduler which integrates with Microsoft Office 365. Individuals who have any systems which have not yet been upgraded to the Webex Scheduler should do so at the earliest opportunity.

Another big change is that the Webex Events (Classic) are being replaced by Webex Webinars. Any new events planned to take place after April 1, 2023 must be scheduled as Webinars. Any Events that are already scheduled will still run as planned, but their dates cannot be changed to after April 1, 2023. Therefore, it is highly recommended to migrate to Webex Webinars.

Lastly, Webex has introduced a retention policy for all recordings saved to the cloud. The recordings will be saved for approximately ten years (3,600 days) from the date of the meeting, and will be purged after that time. If longer retention is required, a recording may be downloaded for a personal archive. Individuals requiring a permanent streaming archive should submit a Support Request and select Mediasite Support and Training as the MultiMedia Request Category in order to work with the Mediasite team to discuss a permanent streaming strategy.
